Many times, office employees or general Microsoft 365 users feel confused when they click Save on a file, and the program takes them to OneDrive instead of the familiar folder on their computer. This article will explain how to change the default settings so that the program always saves files to your computer first, making work more convenient and faster.

Understand before fixing

By nature, Microsoft designs programs in the Microsoft 365 suite (whether Word, Excel, or PowerPoint) to work primarily with cloud services like OneDrive. The reason is to support key features such as AutoSave, which helps prevent file loss, Version History, and collaboration with others on the same document in real time, all of which require files stored in the cloud.

However, there are several reasons why many users still prefer to save files on their own computers first, whether it is due to company security policies that do not allow certain types of data to be stored outside the organization, working with very large files that syncing over the internet might be slow, or simply because of familiarity and the desire to organize files in their own way. This setting, therefore, is a solution that helps make work more aligned with our needs.

Before Starting

This change is a personal setting in the program. It does not affect existing work files and does not require any backup before making it, but there are a few things to know:

1. Must set separately for each program: Settings in Word will not affect Excel or PowerPoint. You need to go and set them again in every program you use.
2. Default only: You can still choose to save files to OneDrive or other locations whenever you want, but the default when pressing Save for the first time will change to your computer.
3. The AutoSave feature will not work: When saving files primarily to your computer, the AutoSave feature will be automatically turned off. You will need to press save (Ctrl + S) manually at intervals as usual.

How to do it safely

Follow these steps for Word, Excel, and PowerPoint (the example uses screens from Word, but the menu appearance is the same in other programs)

1. Open the Options window
- WHAT: Access the program's main settings window
- WHERE/HOW: Open a program (such as Word), click on the File menu at the top left corner, then select Options at the very bottom of the dark-colored menu bar on the left.
- WHY: This window is the central hub for all program settings, from display options to file saving methods.
- EXPECTED RESULT: A new window called Word Options will appear in the middle of the screen

2. Go to the Save menu
- WHAT: Find settings related to document saving
- WHERE/HOW: In the Word Options window that opens, look for the Save menu in the list on the left and click it
- WHY: This page collects all options related to file save location, file format, and data recovery
- EXPECTED RESULT: The right side of the window will display all the settings details related to recording.

3. Set it to save primarily on the computer
- WHAT: Change the default command from saving to the cloud to saving on the computer
- WHERE/HOW: Look for the topic Save documents and then check the box that says Save to Computer by default
- WHY: This setting tells the program that when the user saves a new file for the first time, it should display the window to select a location on the computer (This PC) first, instead of OneDrive.
- EXPECTED RESULT: A checkmark will appear in the checkbox in front of the mentioned text

4. (Recommended) Set the default folder on the computer
- WHAT: Specify the default folder you want to use to save work for greater convenience
- WHERE/HOW: In the Default local file location field, you can set the location you want. By default, it is set to the Documents folder, which is already suitable. However, if you want to change it, you can click the Browse… button to choose another folder.
- WHY: Helps reduce the repeated steps of clicking to select a folder each time you create a new file, allowing you to save your work faster.
- EXPECTED RESULT: The path of the folder you selected will appear in the text box

5. Confirm and save settings
- WHAT: Make all changes effective
- WHERE/HOW: Press the OK button located at the bottom-right corner of the Word Options window
- WHY: To save the new settings and close the window to return to the program
- EXPECTED RESULT: The Options window will disappear, and your new settings will be available immediately

6. Repeat in other programs as needed
- WHAT: Set up in the same way in other programs
- WHERE/HOW: Open the Excel and PowerPoint programs, and then follow steps 1 to 5 again in each program
- WHY: This setting is specific to the program and is not shared, so it must be done separately.
- EXPECTED RESULT: The Microsoft 365 programs you use frequently will have file-saving behavior consistent with your preferences.

Check Results

To ensure that the setup is completed successfully, try doing this.
1. Open the program you just set up (for example, Word) and create a new blank document.
2. Type a short message, then press Ctrl + S (or go to File > Save)
3. Observe the Save As window that appears. You should select This PC as the default, and it will display the folder you specified in step 4 (such as Documents), allowing you to name the file and save it immediately.

If not yet recovered

Generally, this problem is easy to fix, but if you find that following the steps still doesn't work, it may be due to the following reasons:
- Organization Policy: If you are using a company computer, the IT department may have set a mandatory policy (Group Policy) to save files to OneDrive for backup and security purposes. In this case, the Save to Computer by default option may be grayed out and cannot be changed. You should consult your organization's IT department to understand this policy.
- Forgot to do it in other programs: Make sure you have completed the same steps in Word, Excel, and PowerPoint as you want to use.

If you want to switch back to saving to OneDrive by default, you can follow the same steps and uncheck the Save to Computer by default box at any time.
